Turning Administrative Grit into Public Health Gains

While browsing an online job portal, I came across the Program Administrative Assistant Internship position at the African Population and Health Research Center (APHRC). Curious, I explored the organization’s work and was inspired by its dedication to improving public health outcomes in Africa. As I delved deeper into the Center’s administrative practices and their role in supporting research, I saw a clear alignment between my skills in organization and coordination and APHRC’s mission. This internship felt like the perfect opportunity to refine my administrative expertise while actively contributing to impactful health initiatives.

Nervous but excited, I sent out my application and waited with hopeful anticipation. It was not long before I received an invitation to interview for the position. Determined to present my best self before my prospective employer, I meticulously prepared to ensure better chances at securing this position. When the call came, informing me that I had been selected for the internship, I was overjoyed and optimistic about the endless possibilities that lay ahead. What started as a three-month opportunity became a much more fulfilling experience than I could have anticipated.

Given the short duration of the internship, I wasn’t sure what to expect, and I had the preconceived notion that three months might not be nearly enough time to make a difference. However, I was determined to learn, showcase my skills, and quickly absorb as much as possible. To achieve this, I immersed myself in the various projects at the Center, an experience that was equal parts fulfilling as it was challenging. I wasn’t prepared for how overwhelming and incredibly complex the administrative system would feel at the beginning. I had many days where I doubted my capabilities and wondered whether there would come a time when I would fully understand the administrative processes and feel confident enough to coordinate the logistical aspects of such important projects.

Over time, everything began falling into place. Tasks that seemed daunting were now manageable; I understood how various processes come together to support projects. I was equally getting better at my job and proud of it too, so when I was offered an additional three months to my internship, I embraced the opportunity. My role was central to ensuring the smooth execution of various projects, and it involved a wide range of responsibilities that required strong organizational and multitasking skills. I coordinated and organized both on-site and virtual workshops and events, which demanded a lot of planning and attention to detail. I managed registrations, prepared and organized materials, and ensured seamless communication between participants, facilitators, and stakeholders.

I further supported the team with data management by tracking project milestones, outcomes, and progress, which included updating databases and generating reports. My involvement also extended to maintaining communication channels across the team to ensure everyone was aligned with project goals and timelines. I scheduled meetings, coordinated tasks, and prepared essential documents; through these administrative duties, I learned how vital my role is in keeping projects on track.

This role allowed me to develop professionally and gave me a deeper appreciation for the unseen efforts that make such impactful work possible. Over the six months, my ambitions and career goals have expanded. Through guidance and mentorship, I have gained essential skills that have opened my eyes to the challenges and unique demands of each setting. These skills were put to the test when planning an on-site workshop, which required thorough organization, flexibility, and quick problem-solving skills. On the other hand, a virtual seminar emphasized the need for effective use of digital tools and clear communication.

What stood out to me was the critical role administrative work plays in supporting every aspect of the organization’s initiatives. I quickly realized that to excel in this field, you must always be at your “A-game.” Whether organizing events, managing project data, or ensuring seamless team communication, it became clear that administrative tasks, often behind the scenes, are the backbone of successful projects. Being at the center of this work taught me to stay organized, think on my feet, and always strive for efficiency, as even the tiniest oversight could impact the success of a project.

As I transition into my new role as Program Administrative Officer, I’m excited to continue contributing to and furthering the impact of APHRC’s projects. I am deeply motivated by the opportunity to strengthen my skills and support the center’s mission moving forward. This experience taught me that even the less visible tasks are key to success, and with persistence and dedication, short-term opportunities can evolve into rewarding, long-term roles.
